Privacy Policy

Minnesota Language Bridge ("MLB," "we," "us") provides interpreting, translation, and interpreter training services to healthcare, legal, government, and community organizations in Minnesota. This policy explains what information we collect, how we use it, and the choices you have.

Information we collect

From organizations requesting service: the name and contact details of the person making the request, the organization or facility name and location, and the logistics of the appointment — language needed, date, time, duration, and service format.

We deliberately do not collect patient names, diagnoses, medical details, or any other protected health information through our request forms. Our booking system is built on the HIPAA "minimum necessary" principle and collects only the logistics required to assign a qualified interpreter.

From interpreters and applicants: name, email address, mobile phone number, languages, professional credentials and roster enrollments, training records, and signed agreements.

From training students: name, contact details, languages, schedule preferences, and payment records.

Documents submitted for translation: handled separately from our booking system, through access-controlled storage covered by a Business Associate Agreement. Documents are shared only with the assigned translator and reviewer, each bound by a signed confidentiality agreement, and are deleted on a defined schedule after delivery.

Mobile phone numbers and SMS

We do not sell, rent, share, or otherwise disclose mobile phone numbers or SMS consent to any third party or affiliate for marketing or promotional purposes. Mobile numbers collected for our interpreter messaging program are used solely to send assignment offers and related operational messages, and are shared only with our SMS delivery provider for the purpose of transmitting those messages.

Interpreters who provide a mobile number and opt in receive text messages about available interpreting assignments. Message frequency varies depending on how many assignments match an interpreter's languages and credentials. Message and data rates may apply. Recipients may reply STOP at any time to stop all messages, or HELP for assistance. Consent to receive text messages is never a condition of applying to our network or of receiving any service from us.

How we use information

How we share information

We share information only as needed to deliver services: with the interpreter assigned to an appointment (logistics only), with the client organization that requested the service, with service providers acting on our behalf under contract (secure storage, messaging delivery, payment processing), and where required by law. We do not sell personal information.

Security and compliance

Our practices align with HIPAA, the Minnesota Government Data Practices Act, and the NCIHC Code of Ethics. Every interpreter completes HIPAA training and signs a confidentiality agreement before their first assignment. Systems that may handle protected health information are covered by executed Business Associate Agreements. Access to our dispatch system requires an individual staff account with two-step verification, and every action taken in the system is recorded in an audit log.

Retention

We keep appointment, invoice, and certification records for as long as required for tax, audit, and legal purposes. Documents submitted for translation and their working files are deleted on a defined schedule after delivery. Interpreter and student records are kept for the duration of the relationship and as required afterwards.

Your choices

You may request access to, correction of, or deletion of your personal information, and you may withdraw SMS consent at any time by replying STOP or contacting us. To make a request, email info@mnlanguagebridge.com or call (612) 399-6879.

Children

Our services are provided to organizations and adults. We do not knowingly collect information directly from children. Where an appointment involves a minor, the requesting organization provides only the logistics needed to assign an interpreter.

Changes

We may update this policy from time to time. The "last updated" date above reflects the current version.
